Job Description

A well-established AM Law 150 firm in San Francisco is seeking an Operations Administrator to support its San Francisco office and oversee administrative, staffing, and workflow functions. This full-time position offers a collaborative, high-energy environment within a growing, nationally recognized firm. The ideal candidate is proactive, adaptable, and experienced in managing office operations in a fast-paced legal setting.

Responsibilities:


Office & Staff Leadership
* Staff the San Francisco location and assign duties to ensure efficient, effective support of all timekeeper and client needs
* Maintain productive and positive working environments through a hands-on, collaborative approach
* Oversee daily operations of legal assistants and reception (as applicable)
* Coordinate scheduling for all support staff in alignment with firm needs
* Provide training and cross-training for administrative personnel
* Monitor performance standards, deliver timely feedback, provide coaching, and escalate concerns as appropriate
* Manage personnel matters including training, evaluating, disciplining, and handling staff changes in partnership with leadership

Operational Management
* Maintain strong working knowledge of firm software systems and ensure staff proficiency
* Prepare and provide input for the annual office operations budget, submitting recommendations to the Director of Practice Support
* Analyze office financial operations and ensure costs align with budget plans
* Maintain all personnel availability records and communicate planned/unplanned absences
* Manage ADP timekeeping for non-exempt employees and process PTO approvals
* Partner with the Legal Recruiting Department as needed
* Assist with end-to-end support staff hiring processes-including assessment, recruiting, interviewing, hiring, and onboarding

Facility & Event Coordination
* Proactively support office facility needs while coordinating with appropriate parties
* Plan and implement office events including holiday gatherings, luncheons, and summer activities

Work Environment
Hybrid schedule after training: 3 days in office / 2 remote
Located in downtown San Francisco with covered parking provided
